The Ministry of Foreign Affairs of Denmark at the Permanent Representation of Denmark to the European Union (contracting entity) wants to enter into a contract regarding delivery of canteen services and meeting catering. Canteen services concerns delivery of daily food and beverage services for employees and authorised users of the contracting entity's location. Meeting catering include delivery of food and beverage services in support of meetings, workshops, conferences, receptions and internal gatherings. Furthermore, the supplier shall deliver a fruit arrangement and deliver coffee, tea etc. to the contracting entity's coffee stations. The contracting entity operates within a dynamic international environment and serves as Denmark's official diplomatic mission to the European Union. In addition to supporting the daily activities of employees and visitors, the contracting entity regularly hosts official meetings, working lunches, receptions, cultural events and diplomatic engagements involving national and international stakeholders. Hospitality services therefore play an important role in supporting both the operational functioning and the external representation of the contracting entity. The contracting entity seeks a supplier capable of delivering consistently high standards of hospitality while demonstrating professionalism, reliability, flexibility and an understanding of the specific requirements associated with a diplomatic environment. The contracting entity wants to maintain a price level comparable to that of other private and public canteens. The contracting entity will therefore cover wage costs associated with operating the canteen and thereby ensuring advantageous prices in the canteen. See Annex 5 (Supplier’s charges).Main features of the procedureThe procedure for the competitive procurement resembles that of an open procedure and is divided into the following phases: tender phase and award. The tenderers are to prepare their tenders on the basis of the tender documents and to submit their tender before expiry of the deadline for submission of tender. In this period, the tenderer may participate in an information meeting. The contracting entity will open and review the tender to verify whether it fulfils the formal requirements of the tendering procedure. The contracting entity will then evaluate the compliant tenders in accordance with the award criterion set out in the tender specifications. Documentation Requirement
Leverandøren må fylle ut en liste med minimum 2 og maksimum 4 kontrakter. Hvis en leverandør har oppført mer enn 4 kontrakter, vil oppdragsgiver kun lese og vurdere de 4 nyeste kontraktene (først basert på sluttdato, deretter basert på startdato). Hver oppførte kontrakt skal inneholde følgende informasjon: en beskrivelse av kontrakten (art og mengde tjenester fra leverandøren og hvordan de sammenlignes med beskrivelsen av denne anskaffelsen), beløp (godtgjørelse mottatt av den økonomiske aktøren for utførelsen av tjenestene), startdato (dato for inngåelse av kontrakten), sluttdato (dato for fullføring av tjenestene), og mottaker (navn og kontaktinformasjon). Oppdragsgiver forbeholder seg retten til å kontakte mottakerne av tjenestene eller kreve uttalelser fra mottakerne, som bekrefter at leverandøren har utført de oppførte kontraktene, som dokumentasjon i forbindelse med den tekniske og faglige evnen.
